POSITION DETAILSThe Business Operations/Solutions Manager works in the Business Office to assist AVP for Finance and Business to oversee and coordinate the administrative, strategic, financial and end-user focus operations of the office and team, ensuring efficient, compliant, and service-oriented support for the college's fiscal functions. This role will manage the day-to-day operations of business office and support the staff to facilitate daily business processes and strategic financial planning.

  • Oversee administrative support of the Business Office to enhance coordination, collaboration, and cooperation with other divisions, departments and the campus community.
  • Coordinate with Business Office team to support staffing needs and work with the management to motivate growth.
  • Responsible for the maintenance and tracking of the budgets for all of the departments within the Business Office.
  • Develop and maintain standard operation procedures, SOP, (including desk manuals) for all of the Business Office departments (accounting, accounts payable, budget, bursar, procurement and property management and receiving).
  • Coordinate and review the monthly matrix submissions for the entire Business Office.
  • Oversee timely and accurate processing of access forms, reports requests, vendor management, and credit card applications/administration.
  • Assist with the filing necessary forms with New York State and New York City on behalf of the Business Office (i.e. Chart500, unemployment claims, unclaimed funds, user access forms etc)
  • Oversee the administration and maintenance of the Business Office websites and directories. Also responsible for the creation of CUNYBuy/First/Work website on campus's webpage.
  • Administer the form process (CUNYFIRST, CUNYBuy, CUNYWork Application Request, Credit card Applications, vendor management etc.), for the approval and removal of roles and access.
  • Collaborate with the AVP in executing comprehensive strategic and operational initiatives to drive the Business Office's strategic, financial and administrative operations.
  • Create and implement a comprehensive communication plan for providing regular updates and reports to the AVP and senior management team on all urgent and emergency Business Office matters.
  • Facilitate effective communication with managers and campus end-users to promote seamless information sharing and foster collaborative problem-solving across the campus.
  • Develop training materials tailored to specific areas across the Division, designed to improve communications and service levels.
  • Serve as a liaison between the Business Office and internal/external stakeholders.
  • Serve as the Administrator the New York State credit card (procurement, travel and net) programs.
  • Act as subject matter expert for the deployment and ongoing operation of CUNYfirst CUNYBuy CUNYWork applications across Bronx Community College
  • Oversee the CUNYFirst/CUNYBuy/CUNYWork vendor management process.
  • Derive business office strategies, procedures and ensuring their implementation.
  • Assist with implementation Accounts Payable and Procurement year end close activities.
  • Collaborate with the Assistant Vice President to perform in the most efficient way to meet the campus's expectations.
  • Work with managers and directors utilizing different organizational development tools and systems to provide coaching on issues related to change management.
  • Create documentation, and provide end user's guides and assistance for CUNYfirst/CUNYBuy/CUNYWork transition.
  • Develop End User Guide plan for campus wide administration including videos and FAQs.
  • Serve as the primary liaison for interdepartmental coordination to ensure timely and accurate processing of financial transactions.
  • Ensure business operations comply with CUNY policies, New York State and City regulations, and Federal grant requirements.
  • Monitor internal controls and recommend improvements to reduce risk and increase transparency.
  • Fostering a collaborative work environment for the Business office team and the college community.
  • Facilitate cross-training and staff development to promote resilience and consistency in operations.
  • Evaluate and streamline financial, strategic and administrative procedures for efficiency and accuracy.
  • Lead initiatives to automate processes where appropriate (e.g., electronic forms, digital approvals, workflow systems).
  • Support fiscal year-end closing activities and assist with financial reporting and audit preparation.
  • Assist with system updates, financial software rollouts, and data integrity across systems such as CUNYfirst (PeopleSoft), CUNYBuy, CUNYWork (Workday) others.
  • Serve as a point of contact for escalated issues and help resolve inquiries or disputes.
