With such an important vision to be a leading advocate for justice and mutual understanding, our diverse workforce stands together to demonstrate our values for everyone who chooses to join these efforts.About the Role: The Grants Finance Coordinator will report directly to the CAIR-CA Operations and Finance Associate Director and is primarily responsible for a wide variety of duties:RESPONSIBILITIES:
  • Generate and analyze reports using grant tracking software, as requested by leadership and program staff.
  • Collect and organize data required for grant invoicing through consistent communication and follow-up with multiple departments.
  • Prepare and submit accurate grant invoices to funders in compliance with grant terms, following internal review and approval processes.
  • Initiate and process payment requests for subawardees, ensuring timeliness and accuracy.
  • Coordinate with the accounting department to update billing and invoice records, maintaining accuracy in the general ledger.
  • Maintain electronic and physical records of all invoicing and supporting documentation to ensure readiness for audits and monitoring reviews.
  • Track and manage monthly grant reporting deadlines, billing requirements, and status updates using spreadsheets and grant management tools.
  • Support the reconciliation of internal expense tracking with the accounting system to ensure accuracy and completeness.
  • Assist program leads by providing spend-down reports and financial summaries.
  • Maintain up-to-date grant tracking spreadsheets, including fiscal data and time & effort reporting for audit and compliance purposes.
  • Prepare and present grant financial reports for the local Governance Board and executive leadership.
  • Participate in special projects and complete other finance- or grant-related tasks as assigned.
  • Provide occasional administrative support including answering phones, assisting with outreach and fundraising efforts, and general office tasks.
  • Availability for occasional evening and weekend hours, with some local travel required.
  • Perform other duties as assigned to support the organization's financial and grant-related operations.
QUALIFICATIONS:
  • Bachelor's degree in Accounting, Finance, Business, or related field (preferred)
  • Nonprofit work experience (preferred)
  • Familiarity with QuickBooks, Instrumentl and the Microsoft Office Suite
  • Intermediate or higher proficiency in Excel
  • Familiarity with Generally Accepted Accounting Principles (GAAP) preferred
  • Professional integrity and ability to maintain confidentiality of sensitive data
  • Strong organizational skills, detail-oriented, ability to multi-task, and meet deadlines
  • Ability to work independently, be flexible, and work well under pressure in a fast-paced team environment
