Office Manager

We are seeking a highly organized, detail-oriented, and mission-driven Office Manager to support our Bismarck-based operations. This individual will play a key role in maintaining donor relations, supporting regional staff members, and ensuring smooth day-to-day office operations. The ideal candidate thrives in a fast-paced nonprofit environment, is comfortable juggling multiple priorities, and brings a proactive, team-oriented spirit to the work of serving children and families in need.

Key Responsibilities

  • Program and Administrative Support
  • Maintain accurate records of projects, events, and donor activities to track metrics and inform decision-making.
  • Send daily thank-you letters to donors and manage donor correspondence.
  • Support fulfillment of book and merchandise orders.
  • Conduct research to identify speaking engagements across North Dakota and the surrounding six-state area.
  • Assist in setting up travel, meetings, and engagements for the Executive Director and leadership team.

Office and Inventory Management

  • Collaboratively support daily office operations to ensure a welcoming and efficient work environment.
  • Manage inventory and upkeep of the clothing room and in-house store.
  • Monitor and restock client coin donation boxes across Bismarck on a biweekly basis.
  • Regularly check on MFMC and Dream Maker retail displays at Bismarck stores and the North Dakota Heritage Center.

Financial and Data Entry Support

  • Perform accurate data entry and maintain donor records in our CRM.
  • Provide basic bookkeeping assistance and reporting support to the finance team.

Donor Relations and Fundraising Support

  • Cultivate and maintain relationships with current and potential donors through written communication, phone calls, and in-person outreach in Bismarck and surrounding areas.
  • Be responsive and flexible in supporting organizational priorities, community outreach events, or disaster response efforts when needed.

Job Qualifications

  • Prior experience in office management or administrative coordination preferred.
  • Excellent written and verbal communication skills.
  • Highly organized with strong attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite; familiarity with donor databases and CRM systems is a plus.
  • Ability to work independently and as part of a small, collaborative team.
  • Comfortable with in-person community outreach and commitment to serving others.
