Overview We are seeking a dedicated and detail-oriented a Construction Operations Associate to join our dynamic team. In this role, you will play a crucial part in ensuring the smooth operation of construction projects, ranging from private residences and commercial spaces to NYC DOB projects. The Construction Operations Associate will play a key role in supporting project execution, client communications, and operational coordination from pre-construction through project completion. Key Responsibilities: Coordinate and schedule construction jobs, site visits, and subcontractor appointments. Manage project documentation, including contracts, change orders, estimates, permits, and client records. Support client relationship management throughout the project lifecycle, serving as a point of contact for updates and inquiries. Prepare project estimates and proposals in collaboration with project managers and estimators. Assist in preparing and executing contracts, including negotiating revisions to project plans and scopes of work. Attend and assist in pre-construction meetings with clients, architects, and project stakeholders. Track project progress by following up with site supervisors and updating internal systems. Manage DOB permit documentation and support the permit application process as needed. Obtain quotes from material suppliers and subcontractors to support budgeting and procurement. Handle project billing support, including obtaining prepayments and tracking payment status. Perform general administrative duties, including managing email correspondence, monitoring the phone system, and organizing project files. 20% travel to on-site meetings Qualifications & Skills Bachelor's degree, preferably in Construction Management, Engineering, Architecture, Business, or a related field (proof of all degrees and certifications will be required). Native fluency in both English and Spanish, with excellent verbal and written communication skills in both languages. Minimum of 3 years of experience supporting or managing construction projects, ideally within private residential or commercial construction. Demonstrated ability to prioritize tasks, meet deadlines, and manage multiple responsibilities in a fast-paced environment. Strong negotiation skills and experience interacting with vendors, subcontractors, and clients. Proven customer-facing experience and a track record of delivering excellent customer service. Skilled at building and maintaining strong professional relationships with clients, team members, and external partners. Ability to communicate clearly and professionally with diverse teams and stakeholders. Advanced proficiency in Microsoft Word and Excel; strong general computer skills with the ability to learn and adapt to various construction management software and databases. Familiarity with construction project management software (e.g., CoConstruct, Buildertrend, Procore, or similar) Knowledge of DOB permitting processes is a plus Must provide two strong professional references from previous employers or project owners. Salary commensurate with experience. Hours: 8:00am – 4:30pm Monday to Friday Employment Type: Full Time Years Experience: 1 - 3 years Salary: $52,000 - $57,200 Annual Bonus/Commission: No
