We have an opening for a Regional Recruitment Planning Associate for our Chicago area sites in Ravenswood and Andersonville!

The Recruitment Planning Associate identifies and schedules eligible patients for clinical trials by mining EMR data across the Midwest region, including previously screen-failed individuals. This role involves patient engagement, data analysis, and collaboration with clinic partners to drive enrollment success. A clinical research background, strong communication skills, and proficiency in CRM/CTMS tools are required.

Responsibilities

  • Represent the organization professionally when interacting with clinic staff, patients, and partners.
  • Collaborate with clinics and physician practices across the Midwest to align recruitment goals and patient engagement strategies.
  • Review EMRs to identify potential participants, including screen-failed patients eligible for other or ongoing studies.
  • Conduct outreach to identified patients via phone, email, and in-person visits to schedule research screenings.
  • Provide a positive experience for potential participants in partnering clinics.
  • Convert eligible patients into scheduled screenings, ensuring pre-visit requirements are met.
  • Maintain accurate patient records in compliance with HIPAA and organizational policies.
  • Monitor and report recruitment metrics.
  • Coordinate with the PRAM team for data insights and recruitment strategies.
  • Work with site operations for seamless participant onboarding.
  • Build strong relationships with clinic staff as a reliable referral point.
  • Uphold all regulatory and ethical guidelines related to patient data and consent.
  • Audit data-mining activities for accuracy and compliance.
  • Document outreach and scheduling efforts using CRM/CTMS tools.
  • Analyze patient conversion trends to improve recruitment tactics.
  • Participate in projects and initiatives as assigned.

Qualifications

  • Bachelor's degree required.
  • Minimum 1 year of clinical research experience.
  • Knowledge of clinical research methods and compliance.
  • Excellent verbal and written communication skills.
  • Fluent in Spanish (preferred but not required).
  • Proficient in Microsoft Office 365 and clinical software systems.
  • Effective collaboration across departments and with external partners.
  • Problem-solving, risk assessment, and process improvement skills.
  • Strong organizational skills with multitasking ability.
  • Independent thinking and influencing skills.
  • Experience with SOPs.
  • Flexible, self-motivated, adaptable.
  • Ability to travel and lift up to 35 pounds.
  • Valid driver's license and vehicle access required.
