Our company culture is built on collaboration, teamwork, and a shared passion for what we do - and yes, there are plenty of free snacks!POSITION OVERVIEWBiena is seeking a proactive and detail-oriented Part-Time Administrative Coordinator to keep our headquarters office running smoothly, and support the team with administrative activities. The ideal candidate has exceptional interpersonal and communication skills, and thrives on organization.Location: Waltham, MA (On-site, 5 days per week)Primary Responsibilities:
  • Keep the office tidy, clean, and organized daily
  • Ensure common areas, meeting rooms, and kitchen are well-maintained and presentable
  • Restock essential supplies such as snacks, water, coffee
  • Manage outgoing shipments of R&D and sales samples from the office
  • Coordinate logistics for quarterly team events, including booking venues and catering
  • Greet visitors, handle incoming mail, calls, and deliveries
  • Liaise with building management and office vendors as needed
  • Support Biena team with other administrative needs as they arise
Requirements
  • Bachelor's Degree
  • Proven experience in an administrative or coordination role, or project management role
  • Exceptional attention to detail and strong organizational skills
  • Excellent communication and interpersonal skills to effectively partner with internal teams and external partners
  • A proactive and quick learner with the ability to master new systems and processes.
  • Proficiency in the Microsoft Office Suite, particularly Excel and Word.
