Position Overview: The Rent Transaction Specialist will be responsible for ensuring the timely processing of Lease Status Inquiries, Legal Checklists, Transaction Checklists, and related communication. The Rent Transaction Specialist will provide support to Finance Operations, Asset Management, Property Management, and Accounting departments on transaction-related matters. This is a hybrid role, with Tuesday, Wednesday, and Thursdays required in-office. Key Responsibilities: Accounting:
  • Responsible for ensuring timely, accurate processing of transaction checklists for the entire Real Estate Portfolio.
  • Maintain accurate tenant ledger records, including proper notification of changes to other department personnel.
  • Review portfolio transaction reports and decipher settlement statements to ensure that all relevant items (e.g., payments, credits, refunds, etc.) are reflected in Yardi. If necessary, investigate ambiguous information with the Legal Department, Portfolio Data Management, Tax, and CAM departments for clarification.
  • Review portfolio transaction change reports and ensure that all updates are reflected in Yardi (e.g., renewals, terminations, releases, etc.).
  • Review appropriate rental set-up and communicate such details to Finance Operations as needed, such as setting up ACHs for new transactions as needed.
  • For transactions without a Portfolio Transaction Change Report, review and analyze the body of the email, lease amendment (if applicable), settlement statement, and/or any other related documents to determine transaction type and necessary processes.
Administration:
  • Point-of-contact for transaction-related inquiries.
  • Professional, proactive, and effective communication with Legal, Asset Management, Property Management, and Finance Operations for tenant-related transactions.
  • Timely completion of legal checklists; verification of rental amounts for property dispositions; provide relevant input for property releases.
  • Timely response to Lease Inquiries for Renewals / Options to Extend, and Sales.
  • Proactively communicates with tenants as transaction-related questions arise.
  • ACH setup, Uncollected Rent and/or Sales Tax on Rent, Holdover Rent Increase.
Qualifications: A qualified candidate is typically expected to have:
  • Strong attention to detail and high level of accuracy in data entry and financial records. Ability to read and interpret lease agreements, settlement statements, and related legal and financial documents.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment and meet deadlines.
  • Strong problem-solving skills and proactive approach to resolving issues.
  • Ability to work collaboratively across multiple departments (Legal, Accounting, Property Management, Asset Management, Finance Operations).
Preferred:
  • 2+ years of relevant professional experience in accounts receivable, property accounting, lease analysis, or related positions.
  • Bachelor's degree in accounting, Finance, Business Administration, or related field preferred.
  • Proficient with Microsoft Excel (formulas, pivot tables, data analysis).
  • Experience with Yardi or similar property management/accounting software preferred.
  • Familiarity with real estate transactions, lease administration, or property accounting is a plus.
What you will get in return: The hourly pay range for this role is $25.66 - $28.86 - $33.21 Offers near the high end are uncommon but may be considered for candidates with exceptional experience and skills and are dependent on the facts and circumstances of each case.
