Salary: $22.19 - $26.48 Hourly Location : TX, TX Job Type: Full Time Job Number: 1344 Department: Home Program Opening Date: 07/23/2025 Description Under General Supervision, the position supports the administrative and financial operations of the department by assisting in the development and maintenance of fiscal management systems, contributing to the preparation of various reports and ensuring accurate record-keeping. The role also involves providing administrative support for special projects and financial and budgetary activities for the department's grant management processes; providing financial support for projects and contracts through participation in reviews and compliance efforts, aiding in grant financial compliance and monitoring activities, and offering support in stakeholder engagement and grants administrative tasks. Essential duties and responsibilities may include, but are not limited to, the following:
- Maintain accurate ledgers and other fiscal records for multiple grant programs.
- Process grant related budget and journal entries.
- Prepare quarterly expenditure reports and other information concerning financial requirements for federal grant programs.
- Reconcile accounting records across several systems to assure data is accurate.
- Reconcile and prepare monthly reports of receipts and expenditures for multiple funding sources.
- Prepare purchase orders for subgrantees and changes orders as needed.
- Receive and process monthly requests for funds, distributing time sensitive payments to vendors, including supporting monthly housing assistance payments process.
- Reconcile requests for funds of subgrantees with financial data for grant programs on a monthly basis.
- Support day to day financial activity for expenses compliant with grant and department budget, monthly rental assistance payments, portability and overpayment accounts, and assist in monitoring collection of any fraud recovery payments and reporting.
- Prepare deposits in the PeopleSoft system.
- Serve as backup payroll coordinator as needed.
- Keep up to date with CFR Part 200 Requirements.
- Provides general administrative support to the department.
Qualifications MINIMUM QUALIFICATIONS:Education, Experience and Training Guidelines: Advanced education (Bachelors or Associates degree) in an applicable academic discipline or?related?field of study consistent with this position; at least two (2) years of related experience; knowledge of Housing and Urban Development (HUD) rules and regulations preferred; OR an equivalent combination of education, training and experience as determined by Human Resources. Knowledge of:
- Accounting systems, theory and practice;
- Applicable local, state and Federal statutes, rules, codes and regulations governing federal and state program operations.
Skill in:
- Communicating effectively, both orally and in writing, including but not limited to comprising and drafting letters, memorandums and other correspondence.
- Establishing and maintaining cooperative working relationships with managers, supervisors, employees, external public agencies, suppliers, program applicants and participants and the general public.
- Using initiative, discretion and decision making within established procedures, guidelines and rules.
- Defining problems, collecting data, establishing facts and drawing valid conclusions.
- Performing basic mathematical calculations.

- Exhibiting strong organizational skills with emphasis on details, follow-up, and coordinating schedules.
- Operating a personal computer, including but not limited to strong computerized spreadsheet skills with emphasis on formulas and calculations and various software applications.
