Position Summary
The Building Systems Coordinator plays a key role in ensuring the reliability and integration of building system technologies across a portfolio of 30 properties. This includes maintaining uninterrupted connectivity, optimizing system performance, and supporting future system enhancements. The role acts as a technical liaison between multiple departments—such as Engineering, Property Management, Accounting, and IT—and external vendors.
Key Responsibilities
Essential Functions
- Coordinate cross-functional communication among internal IT, building engineering, property management, and accounting teams.
- Serve as the primary contact for external vendors, including ISPs, security contractors, and elevator service providers, ensuring seamless installations, support, and maintenance.
- Lead and/or support building technology projects from planning through execution, ensuring alignment with budget, scope, and timeline.
- Provide clear and timely updates to stakeholders on project goals, progress, and deliverables.
- Evaluate and implement cost-effective technologies that meet operational requirements.
- Contribute to pre-installation planning and system design for new technology rollouts.
- Offer recommendations for infrastructure upgrades and assist with the budgeting process.
- Deliver training and support to on-site staff on newly installed and existing building systems.
- Maintain accurate system documentation including diagrams, vendor contact details, and service records.
- Utilize a Computerized Maintenance Management System (CMMS) to track maintenance activities and service requests.
- Monitor and ensure compliance with vendor service agreements and performance standards.

- Self-motivated and able to work independently while collaborating with internal and external stakeholders
- Proficiency with Microsoft Office Suite (Outlook, Excel, Word); ability to quickly learn new systems
- Comfortable with on-site property visits and field-based responsibilities
Qualifications
Required:
- Solid understanding of IOT, IT systems, software, and HVAC technologies, or a willingness to learn
- Working knowledge of cabling infrastructure and system networks
- Familiarity with:
- BACnet communication protocols
- Direct Digital HVAC Controls
- Remote access tools for building management and access control systems
- Current CPR Certification (training provided)
Preferred:
- Bachelor's Degree in a related field
Working Conditions
- Must be physically able to move throughout large buildings, climb ladders, and lift up to 75 pounds.
- Frequent outdoor exposure required for site work.
- On-call availability including some evenings and rotating weekends.
- Subject to security clearances required by certain tenants (Federal, State, Municipal).
- Must comply with all applicable laws, safety standards, and company training requirements related to job responsibilities.
