Join our team as an Executive Assistant and play a pivotal role in supporting the Sygnity Wellness leadership team.

The Executive Assistant provides high-level administrative support to our executives, ensuring smooth operations and effective communication across the organization. This role requires exceptional organizational skills, discretion, and professionalism to manage administrative tasks, communications, and relationships on behalf of the executive(s). As an integral member of our team, youll facilitate the executive(s) focus on their strategic responsibilities by handling the following responsibilities:

  • Calendar Management:
    • Manage the executives calendar, scheduling appointments, meetings, and virtual sessions.
    • Coordinate internal and external meetings, ensuring availability and efficient allocation of time.
    • Anticipate scheduling conflicts and proactively resolve them to optimize the executives time.
  • Travel Coordination:
    • Arrange virtual travel accommodations, including coordinating virtual meetings and sessions.
    • Prepare detailed itineraries and agendas, ensuring accuracy and efficiency in travel plans.
    • Handle travel logistics and provide support to the executive during virtual events and sessions.
  • Communication Management:
    • Serve as the primary point of contact for internal and external communications addressed to the executive.
    • Manage email correspondence, screening and prioritizing messages, and responding when appropriate.
    • Draft and proofread correspondence, reports, presentations, and other documents as needed.
  • Administrative Support:
    • Provide administrative support, including managing files, preparing virtual meeting materials, and maintaining records.
    • Coordinate special projects and initiatives, ensuring timely completion and attention to detail.
    • Act as a liaison between the executive and other departments or external stakeholders.
  • Meeting Coordination and Support:
    • Prepare meeting agendas, materials, and presentations for virtual meetings and sessions.
    • Attend virtual meetings, take accurate notes, and distribute meeting minutes and action items.
    • Follow up on action items and deadlines to ensure timely completion of tasks discussed during meetings.
  • Relationship Management:
    • Build and maintain positive relationships with internal team members, external partners, and stakeholders.
    • Handle inquiries and requests from stakeholders, providing timely and professional responses.
    • Exercise discretion and maintain confidentiality in handling sensitive information and communications.
Qualifications
  • Bachelors degree in office management or a related field preferred.
  • Proven experience as an executive assistant or in a similar role, preferably in a virtual or remote work environment.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
  • Strong communication skills, both written and verbal, with a professional demeanor.
  • Proficiency in office productivity software and virtual collaboration tools.
  • Attention to detail and accuracy in all tasks, including document preparation and communication.
  • Ability to exercise discretion and maintain confidentiality.
  • Adaptability and resourcefulness in solving problems and handling unexpected situations.
  • Strong interpersonal skills, with the ability to work collaboratively with diverse teams and stakeholders.

  • Must be available to work full-time.
  • Must be able to clear a Level 2 background check.
