CLASS SUMMARY:This position provides administrative support for an assigned department. Typical duties may include responding to customer service inquiries, supporting multiple divisions, maintaining records and contracts, assisting in communications for the department, and assist in routine department activities including budget planning, project oversight, cost analysis, expenditure control, and accounting procedures.TYPICAL CLASS ESSENTIAL DUTIES: (These duties are a representative sample; position assignments may vary.)1.Provides accurate customer service responses to customer inquiries that are complex in nature by various forms of communication including phone, email, mail, or in person including referrals to other government agencies.2.Provide administrative support functions to multiple City departments or divisions as well as serve as a liaison for various committees and groups providing general public relations functions.3.Coordinate production of public information material and content for distribution, including preparing news releases, social media posts, webpage updates, development of print material (i.e. brochures, pamphlets, handouts).4.Maintain current and accurate records of contract information and coordinate with personnel to ensure compliance with contracts/agreements.5.Interpret and disseminate administrative policies and procedures revisions for staff implementation.6.Assist as needed in activities including; budget planning, project oversight, project cost analysis, expenditure control and accounting procedures.7.Provide guidance to department staff in various activities necessary to attain operational goals.8.Performs other duties as assigned.This job description is intended to represent only the key areas of responsibilities; specific position assignments will vary depending on the business needs of the department.TRAINING AND EXPERIENCE:High school diploma, GED or equivalent and three (3) years of progressively responsible administrative/clerical experience of including prior experience in area(s) of assignment; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.LICENSING REQUIREMENTS:Depending on assignment, may require valid Texas driver's license.KNOWLEDGE:Office procedures;Customer service principles;Computers and related software;Mathematical concepts;Budgetary principles;Administrative principles and practices related to assigned area of operations;Confidentiality principles;Applicable Federal, State, and City laws and regulations.SKILLS:Maintaining calendars;Providing customer service;Composing a variety of correspondence;Maintaining records;Using computers and applicable software;Utilizing communication and interpersonal skills as applied to interaction with coworkers, supervisor, the general public, and others sufficient to exchange or convey information.PHYSICAL REQUIREMENTS:Positions in this class typically require: climbing, crouching, reaching, standing, walking, pushing, pulling, lifting, fingering, grasping, feeling, talking, hearing, seeing and repetitive motions.Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Walking and standing are required only occasionally.In order to be hired, applicants will need to pass a background check, a drug screen, physical exam, and a reference check.
