Mail Services Manager Posted on 2/6/2025 Accepting applications About this position The mail services manager provides leadership and vision and plans and directs all work activities of the Mail Services department, a United States Postal Contract Station located on campus. The role manages the daily operations, establishes policies, procedures, and priorities for postal operations, and oversees the operation of the mail collection, sorting, and distribution. Oversight includes the direction and compliance with federal postal rules and regulations in the sale of postage and money orders, processing of outgoing mail, and the receipt, handling, and distribution of certified, registered, insured, express, and regular mail. ESSENTIAL FUNCTIONS
Prevents institutional liability and the potential loss of its authority to operate an independent mail service by ensuring that the College's mail service complies with federal postal rules and regulations in the receipt, handling and distribution of all classes of mail.Provides an efficient, prompt, service-oriented mail service for the campus by consistently demonstrating a willingness and desire to handle all aspects of the operations of the mail room including but not limited to handling the sales behind various postal services; processing incoming and outgoing US mail and inner-office mail; reporting; and more. Promotes a professional, service-oriented mail service operation by answering inquiries concerning campus and U.S. Postal Service mail services and regulations, explaining rates, special types, classes of mail, and packaging requirements, and advising mail service patrons on the most appropriate category and class of mail to meet their needs.Prepares the daily financial report and a daily cash deposit from postage sales which is sent to the U.S. Postal Service, prepares vouchers and payment request forms for reimbursement for the sale of stamps to departments, and a weekly inventory to balance and reconcile cash and stamps on hand.Process all campus incoming and outgoing Federal Express, DHL/Airborne Express, United Parcel Services (UPS), Unites States Postal Systems (USPS), Registered, Certified, Insured and Express mail/packages.Manage services at a public window for all Postal Service related activities including the sale of stamps, the weighing of letters, flats and parcels and affixing the correct postage. Ensure quality customer service by assisting customers with completing forms regarding changes of address, special services such as registered or priority mail, and claims for mail theft or lost or damaged mail.Responsible for the accuracy of sorting and distributing by hand for delivery all incoming U.S. mail to campus departments/buildings and student mailboxes.Prepares monthly mail reports, yearly mail reports, daily supervision of student workers and hiring/training of student workers when needed.Drive motorized vehicle to deliver mail daily, when necessary.Operate postage meter and subsequent mail equipment and troubleshoot machinery or call appropriate vendors to schedule maintenance or repair.Use a Windows-based system containing program files and national directories to sort by destination, classification and weight to obtain maximum savings.Contributes to the success of the mail services office by performing all other duties as needed to drive the vision, fulfill the mission, and abide by the values of the College.About our ideal candidate EDUCATION, WORK EXPERIENCE AND REQUIREMENTSA high school diploma or the equivalent is required. A bachelor's degree in business or other related field is strongly preferred.At least five years of experience is required in progressively responsible positions with at least three years in supervisory positions requiring skills in quality production and general management. US Post Office experience strongly preferred. In lieu of US Post Office experience, background in handling large volume of various mailing, packaging, and shipping for an organization.Experience in a higher education environment is preferred. Excellent administrative, communication, and interpersonal skills including telephone demeanor and writing ability required. Computer literacy is required. The ability to work with deadlines and under pressure is required.Must relate well to a variety of constituencies.Specialized training beyond the high school level emphasizing cash handling, accounting for cash, purchasing, business office procedures, and/or bookkeeping or accounting. Demonstrated familiarity with developing technologies in mailing as well as the ability to apply those technologies is required.Strong interpersonal skills with a gracious demeanor in demanding situations required and must be able to be extremely flexible in an environment subject to many spur-of-the-moment changes.Proven ability to possess strong character and integrity required as the position often deals with confidential information and must adhere to federal mail operation regulations.Strong organizational skills and ability to work in high multi-task environment a must.About us The College's health and wellness plans along with generous paid time-off benefits are in addition to rewarding employee benefits such as the tuition grant and 403(b) plan.
