Job Description: General Statement of Duties: The Staff Assistant role entails performing a wide variety of administrative support activities on-site within the Division of Human Resources and Payroll. Assigned work generally pertains to implementing and managing administrative requirements stemming from state and federal labor laws, collective bargaining agreement requirements, and College policies and procedures. The Staff Assistant has the potential to engage with any member of the College community and must communicate professionally and effectively with individuals or groups who are part of a diverse community served by the Division. Responsibilities:
  • Serve as a primary point of contact on-site in office of Human Resources & Payroll; answer incoming phone calls, greet visitors, address initial inquiries including income and employment verification, password reset assistance;
  • Backup to Information Center (College Switchboard);
  • Compose and distributes departmental correspondence required by law, contract or policy as assigned;
  • Maintain job posting spreadsheet with new postings and updates to existing postings; Save postings in shared drive. Notify specific union of new postings when applicable;
  • Maintain transcript spreadsheet and follow up with employees to get them here;
  • Maintain Agency Public Records Requests;
  • Create and maintain accurate Personnel Action Requests (FT & PT) using information received and/or requested from other College personnel (internal and external to HR & Payroll)(Backup);
  • Assist with task associated with departmental research, special projects, surveys, reports, or requests for information by locating, retrieving, sorting, organizing and/or formatting data using a variety of software applications as needed;
  • Collaborate with all HR & Payroll staff to ensure appropriate departmental coverage, i
  • Prepare and maintain records of Internal Purchasing Request for HR department (Backup);
  • Update College Organizational Chart to maintain accuracy as needed;
  • Update College catalog, removing former employee's and adding new employees with titles and degree information;
  • Assists with updating and maintaining the Division web pages;
  • Deprovisioning of employee emails;
  • Receive, verify, and record tuition remission request forms for current employees;
  • Manage administrative aspects of annual personnel evaluation processes for unit and non-unit personnel (This includes AFSCME evaluations, 3-month, 6-month and annual);
  • Provide information to union representatives as required by AFSCME and MCCC collective bargaining agreements;
  • Provide onboarding materials to all new hires and/or re-hires (using an applicant tracking system Hirezon /Interview Exchange) as needed and conduct part-time employee, adjunct professors, and work-study student employee orientations, ensuring all related documentation is completed and retained as required by law, regulation, or College policy, and including the accurate entry of new personnel information in state and college personnel management systems (BANNER);
  • Process CORI's, SORI's and run E-Verify;
  • Manage Vice President's Calendar and schedules meetings as needed;
  • Perform other duties as assigned.
Requirements: Minimum Qualifications:
  • 2-3 years of experience working in a professional office setting;
  • High School Diploma or equivalent;
  • Proficient with Microsoft Office suite (Word, Excel, Access, PowerPoint, Outlook, Adobe Acrobat, Visio);
  • Exceptional Customer Service and Organizational skills.

  • Ability to manage multiple projects that sometimes include competing demands or deadlines;
  • Ability to maintain an organized work area and workload for self and in support of Division;
  • Strong oral and written communication skills;
  • Team player who appreciates and thrives in a diverse workforce;
  • Demonstrated ability to handle sensitive information in confidential and professional manner.
Desired Qualifications:
  • Associates degree or higher;
  • Experience working in higher education;
  • Familiarity with the Massachusetts HR/CMS payroll software.
