Principal Responsibilities
  • Administrative Services Manager: Provides efficient and effective delivery and integration of administrative services (academic, financial, research, and/or clinical). Serves as the unit's point of contact to/from service providers (e.g., Facilities, HR, IT, Procurement, Student Services, Faculty Affairs), ensuring communication of unit needs and relevant information, and taking action as needed. Monitors the adequacy of services provided by outside providers and escalates issues to the LA.
  • Financial Analyst & Manager: Partners with the LA to develop financial plans for the unit. Provides financial analysis and reporting, monitors performance against budgets, and recommends adjustments. Oversees daily financial transactions, supports inquiries from the Dean/Director/Chair, and identifies resource deployment strategies. Prepares budgets with historical data and analysis, and assists in funding analysis and planning.
  • Risk Manager: Implements internal controls to ensure effective resource use, accurate financial information, and compliance with policies, procedures, and regulations. Takes corrective actions to protect assets and reputation. Ensures faculty and staff are informed of relevant regulations and escalates issues appropriately.
  • University Citizen: Facilitates communication and alignment between the unit and the university. Engages in university initiatives, represents unit interests, and promotes the unit's image and value. Shares best practices and knowledge.
  • Talent Manager and Developer: Attracts, retains, and develops high-quality personnel. Collaborates with HR on recruitment, performance management, and employee relations. Assesses staffing needs, makes recommendations for development and movement, and promotes diversity.
  • Strategic Resource: Works with the LA and leadership to shape the unit's priorities and support strategic planning. Translates strategy into action, recommends resource needs, and identifies potential issues impacting success.
  • Performs other duties as assigned.
  • Required Skills and Abilities
    • Effective communication skills, both oral and written, with high interpersonal ability across organizational levels.
    • Exceptional analytical, organizational, and data reporting skills; problem-solving using investigative techniques.
    • Knowledge of CPT, ICD-10, HCPCS codes, medical terminology, and compliance in an academic medical setting; familiarity with Epic, Microsoft Office, and related software.
    • Ability to analyze detailed reports, draw conclusions, and summarize findings.
    • Ability to work independently and as part of a team, lead projects, and prioritize tasks to meet deadlines.
    Preferred Qualifications
    • CPC certification.
    • Knowledge of medical record management software (Epic) and BI reporting systems (BI Portal, UHC, Strata).
    • Understanding of HIPAA regulations and their impact on practice operations.

    Work Week: Standard (Monday-Friday, equal hours)
