The Executive Assistant to EVP of Sport Facilities provides high level administrative support in its position. They will also serve and support other executive assistants, sport pillar projects, and other ministry initiatives as needed. This position will be responsible for documenting and organizing the EVP of Sport Facilities executive meetings and scheduled calls. The Executive Assistant bridges relationships with FCA's executive teams, Support Center staff, sport pillar staff, FCA's field staff and Trustees.

MINISTERIAL DUTIESThese responsibilities are critical to the FCA mission and this position plays a vital role in our ministry. FCA expects all functions and responsibilities outlined below to be carried out with a heart surrendered to serving God as a form of worship.

  • Agree with, and abide by, FCA's Christian Community Statement.
  • Follow a spiritual rhythm including daily prayer and Bible study to seek the Lord's will for FCA.
  • Lead, conduct and provide spiritual leadership for staff, volunteers, coaches and athletes through prayer, Bible study, worship and living by example so they are equipped to serve others.
  • Connect to and participate in a local church through worship and weekly involvement.
  • Conduct yourself in a manner that affirms biblical standards of conduct in accordance with FCA's Christian beliefs (see FCA's Christian Community Statement) at all times.

Role Responsibilities

  • ASSISTANT TO EVP OF SPORT FACILITIES
    • Work closely with the EVP of Sport Facilities as a visionary that can see the big picture; willing to confidently provide the necessary support to bring the vision to fulfillment.
    • Respond to and resolve high level inquiries and questions.
    • Screen telephone calls and incoming correspondence.
    • Promote teamwork and cooperation within the executive offices and the organizational pillars.
    • Keep all sport pillar projects visible and update the status of their progress.
  • CLERICAL
    • Provide secretarial and clerical assistance to designated staff members.
    • Responsible for PowerPoint/document creation.
    • Process invoices for payment and track department expenditures.
    • Generate and review pertinent sports pillar reports with EVP of Sport Facilities.
  • SCHEDULING
    • Prepare agendas and schedules for meetings requested by the EVP of Sport Facilities.
    • Coordinate and schedule travel, meetings, and appointments.
    • Efficiently manage the travel calendar of the EVP of Sport Facilities by ensuring adequate flight time, hotel reservations, prepare itinerary, pre-checking/boarding pass, etc.
    • Administer and document virtual meetings (schedule, record, control permissions, share screen/audio).
    • Maintain sport pillar calendar of staff activities and key events.
  • MEETING MANAGEMENT
    • Track action items committed to in meetings - Using Planner and Word.
    • Send notes with action items and track action items for all projects led by the EVP of Sport Facilities.
    • Review meeting notes from all meetings.
    • Compile all action items from all meetings assigned to the EVP of Sport Facilities and keep them up to date.
    • Keep important files from all meetings updated and organized.
  • EMAIL MANAGEMENT
    • Process and organize emails for the EVP of Sport Facilities and indicate priority of emails in their inbox.
    • Prepare draft emails, when possible, for the EVP of Sport Facilities to edit and send.
    • Scan and extract valuable information communicated via email.
    • Alert the EVP of Sport Facilities of any urgent emails that need to be seen or acted upon.
  • COMPETENCIES
    • Professionalism: Proper use of English, grammar, spelling, punctuation, and vocabulary necessary to perform duties required.
    • Ability to type accurately from a clear copy at 50 words per minute.
    • Ability to operate telephone using proper telephone etiquette.
    • Zoom proficient.
    • Proficient in Microsoft projects especially Teams and Planner.
    • Self-starter with excellent planning and organization skills including files (both digital and physical).
    • Intermediate knowledge of Internet and Microsoft Office programs including Word, Excel, PowerPoint, and Outlook required.
    • Ability to communicate clearly and concisely, both verbally and in writing, to a wide variety of people.
    • Must have basic problem-solving skills.
    • Ability to initiate tasks and projects with minimal general instruction; stay on task; self-manage workloads and complete assignments in a timely manner.
    • Maintain effective work relations with those encountered in the course of employment.

Experience

  • 3-5 years' experience in an administrative or executive assistant role preferred.
  • Associate or bachelor's degree in the related field preferred.
