Position: Program Coordinator

Type: Full Time

Schedule: Day, M-F

Job Summary: The Program Coordinator is an advanced level administrative coordinator responsible for supporting the department/division, coordinating day-to-day operations, and managing special projects. This position may also assist with accreditation projects as needed.

Responsibilities:

  • Support team of physicians and administrative leadership.
  • Manage heavy calendar; schedule meetings and appointments.
  • Coordinate travel arrangements, including registrations, hotel, car, and flight bookings.
  • Maintain and renew all department memberships and journal subscriptions.
  • Update several databases; heavy data entry required.
  • Maintain confidential files, including patient information.
  • Prepare purchase orders and request payments for invoices related to publications and supplies.
  • Assist physicians with society memberships and coordination of events.
  • Assist with preparation of lectures, manuscripts, abstracts, and presentations.
  • Support marketing initiatives and departmental mailings.
  • Assist with the creation of new marketing materials.
  • Liaison with practice offices at all sites.
  • Assist with onboarding faculty and staff.
  • Perform general administrative tasks as requested.
  • Assist with program requirements for accreditation.
  • Coordinate projects associated with the department/division.
  • Perform other duties as assigned.

Qualifications/Requirements:

Experience: Minimum of one year of healthcare program coordination experience required.

Education: Bachelor's degree from an accredited institution required. Equivalent combination of experience and education may be substituted.

Licenses / Certifications: N/A

Other: Advanced Office, Excel, and PowerPoint skills are a must. Ability to multi-task and take initiative is essential. Excellent written and oral communication skills, attention to detail, and professionalism are required. Prior medical field experience in an academic hospital preferred.
