JOB DESCRIPTION Alston & Bird is seeking a dynamic and experienced Office Administrator to lead the daily operations of our 50-lawyer Dallas office, with additional oversight of our Chicago office. This role includes occasional travel and offers a unique opportunity to support two vibrant and growing locations. This role reports to the Chief Human Resources Officer and the local Partner-in-Charge and is responsible for ensuring that attorneys and legal staff have the administrative support needed to deliver high-quality legal services. The Office Administrator oversees local HR, finance, IT, facilities, and general office management, aligning operational functions with the firm's strategic goals. ESSENTIAL DUTIES
  • Partner with leadership to ensure smooth day-to-day office operations and a positive work environment.
  • Oversee local human resources functions in collaboration with the HR department, including:
    • Recruitment and onboarding
    • Employee relations and engagement
    • Benefits administration and compliance
    • Performance management and professional development
    • Leave management and disciplinary processes
  • Manage office facilities and vendor relationships, including:
    • Space planning and maintenance
    • Office supply procurement
    • Safety and emergency preparedness programs
  • Promote and coordinate community engagement and volunteer initiatives.
  • Foster open communication across departments and serve as a liaison between staff and leadership.
  • Support diversity, equity, and inclusion initiatives in collaboration with internal committees.
  • Attend regular administrative leadership meetings and contribute to firm-wide initiatives.
  • Coordinate onboarding and offboarding processes for attorneys and staff.
  • Liaise with IT, HR, and Finance departments to ensure seamless internal operations.
  • Maintain office policies and procedures, ensuring compliance with firm standards and legal regulations.
  • Organize internal meetings, events, and training sessions.
  • Monitor and manage office budgets, expenses, and billing processes.
  • Serve as a point of contact for building management and external service providers.
  • Support attorneys with administrative tasks as needed, including document management and scheduling.
SKILLS NEEDED TO BE SUCCESSFUL
  • Ability to work in a professional and collegial manner with attorneys, paralegals, professional and administrative staff
  • Strong leadership and team management skills.
  • Excellent organizational, communication, and problem-solving abilities.
  • Proficiency in Microsoft Office Suite and legal practice management software.
  • Ability to handle confidential information with discretion.
EDUCATION AND EXPERIENCE
  • Bachelor's degree preferred.
  • Minimum of 5 years of experience in office administration, preferably in a professional services environment.
  • Strong background in human resources and operational management.
  • Excellent interpersonal, organizational, and communication skills.
  • Ability to manage multiple priorities and work collaboratively across teams.
