Compensation: $18.00 per hour

Practice Manager

Supervisory Responsibilities:

None

Position Summary:

The Medical Secretary is responsible for accurately scheduling patient appointments and performing a variety of administrative and clerical tasks to ensure efficient office operations. This role requires excellent communication skills, attention to detail, and a strong commitment to patient confidentiality and customer service.

Essential Duties and Responsibilities:
  • Deliver exceptional customer service to patients, providers, management, and team members.
  • Schedule and reschedule patient and provider appointments accurately and in a timely manner.
  • Verify patient information during each visit and update records accordingly.
  • Answer incoming phone calls professionally and route them to the appropriate personnel.
  • Accurately take, document, and forward telephone messages using the EMR system.
  • Complete Clip Program tasks, which involve gathering and submitting dialysis-related information to the treatment facility prior to a patients start date.
  • Perform general clerical duties including filing, scanning, and indexing documents into electronic charts.
  • Manage requests for medical records from external offices and ensure timely processing.
  • Support various projects and administrative tasks as assigned by the Practice Manager.
  • Maintain patient confidentiality in compliance with HIPAA and organizational policies.
  • Perform other duties as assigned.
  • Education and Experience Requirements:
    • High school diploma or GED required.
    • Minimum of one (1) year experience in a healthcare or medical office setting.
    • Typing speed of 50 WPM preferred.
    Required Knowledge, Skills, and Abilities: Knowledge of:
    • Healthcare/managed care industry policies and procedures
    • General office equipment (phones, computers, scanners)
    • Customer service standards and techniques
    • Office administrative operations
    Skills in:
    • Effective use of office equipment and computer systems
    • Accurate data entry and basic calculator use
    • Providing high-quality customer service to diverse populations
    Ability to:
    • Communicate clearly and professionally, both verbally and in writing
    • Establish and maintain effective relationships with patients, families, providers, and coworkers
    • Organize, prioritize, and complete tasks efficiently
    • Follow written and verbal instructions
    • File documents using both alphabetical and numerical systems
    • Interpret and apply company policies and regulatory guidelines
    Working Conditions and Physical Demands:
    • Work is performed in a standard medical office environment with adequate lighting and ventilation.
    • Duties require frequent sitting, occasional standing, and routine use of a computer and office equipment.
    • Manual dexterity necessary for handling office tools such as keyboards, calculators, and phones.
