Position Summary

We are seeking a highly organized and detail-oriented Manager of Contracts and Purchasing to oversee the administration of contracts and ensure efficient operational support within our organization. The ideal candidate will possess strong leadership skills and a comprehensive understanding of contract management processes.

Requirements

Essential Duties and Responsibilities

  • Contracts Management
    • Manage the contracting process across the GKFF and TCF ecosystems
    • Administer all contracts prepared and executed for our use (vendors, independent contractors, sponsorship)
    • Lead the implementation of a new contract management system
    • Project manage the customization of workflows within the system for new contract generation according to prescribed templates, from initial request through execution
    • Implement contract standardization and expediency wherever practical
    • Work to sensibly reduce legal expenses on contracts
    • Assess the rigor of specified scopes of work/deliverables and provide feedback to the business owner where necessary
    • Ensure all contracts are properly approved and follow recommended guidelines
    • Implement and maintain a contract database, including monitoring of contract terms/expiration
  • Purchasing Management
    • Identify opportunities to consolidate purchasing to reduce spend
    • Participate in negotiation processes for purchases over $50,000
    • Prepare and distribute guidelines for effective purchasing
    • Other duties as assigned
  • Skills And Qualifications

    • Associate's degree is required; bachelor's degree preferred
    • Proven experience in contract management and administrative services
    • Strong customer service and communication skills
    • Excellent organizational and time management abilities
    • Proficiency in Microsoft 365, ASANA, and Slack
    • Ability to analyze complex information and make informed decisions
    • Strong leadership skills with the ability to motivate and develop a team
    • Attention to detail and a commitment to accuracy

    Physical Requirements

    • Ability to sit in front of a computer monitor for multiple hours
    • Ability to lift up to 25 lbs.
    • Ability to communicate verbally and in writing professionally
    • Ability to walk up and down multiple flights of stairs without assistance

    Hours and Location

    • This position is fully in-person at 7030 S. Yale Ave., Suite 600, Tulsa, OK 74136
    • Typical work hours are Monday - Friday, 8:00 a.m. – 5:00 p.m., with occasional variation
    • Early start, late evening, or weekend hours may be required
    • Domestic travel may be required
    • Reliable transportation and in-person attendance required
