Position Summary: The Event Services Coordinator plays a key role in delivering an exceptional guest experience by overseeing and actively participating in the physical setup and execution of event spaces throughout the Conference Center property. This position requires availability from Wednesday through Sunday, aligning with the peak activity periods of event operations. This role requires strong organizational skills, attention to detail, and the ability to collaborate across teams to maintain high service standards. Essential Functions
  • Ensure the timely completion of daily assignments, maintaining quality standards, and assisting with workflow efficiency within budget guidelines.
  • Lead and work alongside a team of event services technicians to execute the setup and cleaning of event spaces to meet group needs.
  • Set up event spaces per Banquet Event Orders (BEOs), including tables, chairs, A/V, and other requested equipment.
  • Responsible for moving and delivering event setup items across locations.
  • Coordinate staff scheduling, including seasonal team members, and provide occasional administrative support for training, inventory tracking, reporting, and special projects.
  • Ensure event spaces are properly arranged and maintained for guest satisfaction, addressing any immediate setup adjustments or custodial issues as needed.
  • Consistently communicate updates, changes, or corrections to daily task lists, ensuring staff remain informed and tasks are completed efficiently.
  • Collaborate with the Recreation and Media departments to ensure coordination of event logistics, support shared initiatives, and assist with operational needs that enhance guest experiences.
  • Monitor and report on the condition of services equipment and work areas, addressing any maintenance, custodial or safety concerns.
  • Assist with training staff on equipment use, storage protocols, and routine procedures related to event setup and cleaning.
  • Carry an event services radio and respond promptly to operational requests or urgent needs.
  • Addressing guest inquiries, resolving issues promptly and professionally, and maintaining a welcoming atmosphere.
  • Weekend Support - Serve as the primary point of contact for weekend events. Provide coverage for weekend events, responding promptly to urgent requests or last-minute changes to event setups and operations.
  • Perform other duties and responsibilities as assigned and required.
QualificationsKnowledge, Skills and Abilities
  • A combination of education and experience equivalent to an Associate's degree or 2 years relevant experience working in a Resort/Hotel/Hospitality environment.
  • Hospitality experience strongly desired.
  • Valid Driver's License Required
  • Must have demonstrated good communication skills, client relation skills, and a commitment to providing responsive and conscientious customer service.
  • Must be detail oriented with knowledge of a wide variety of software systems, word processing and spreadsheet applications, prefer Google suite.
  • Must be flexible and able to adapt to changing needs, multiple task demands, and work structures.
  • Ability to read and comprehend instructions, short correspondence, emails, and memos.
  • Ability to effectively present job related information upon request to customers, clients, and employees of the organization.
  • Ability to lift up to 50 lbs.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule formats.

Working conditions
  • Moderate to heavy physical activity performing strenuous and non-strenuous daily tasks with moderate to loud noise. Well-lit, heated and/or air-conditioned work setting with adequate ventilation. Frequently working outside in all weather conditions.
  • Physical Demands: To coordinate work, constantly moves about, able to stand, walk, sit, manual dexterity to handle or feel, reach with hands and arms (occasionally overhead), stoop, kneel, talk to and hear staff and customer requests, and also occasionally lifts or carries or otherwise moves and positions objects weighing up to 50 pounds.
  • Vision: Distant and close vision required. Able to identify and distinguish colors; ability to adjust focus, must have depth perception in order to set rooms, etc. to guests specifications.
  • Hours: Wednesday - Sunday; including nights, weekends, holidays as required. Must be willing to work a flexible schedule with occasional on-call responsibilities.
