DescriptionJob Title: Dental Office Coordinator Location: Family Dental Center - 1000 Elmwood Ave (behind main campus in brick building) Salary: $17.00 - $20.50 commensurate with experience Employment: This is a full-time 40 hours per week position. Days and hours of work are Monday through Friday during business hours (8:00am-5:00pm). Evening work may be required as job duties demand. Hours must cover the times the dental clinic is open. Summary/Objective: The Dental Office Coordinator provides support to ensure the smooth and compliant operation of the dental office and patient care. Required Education and Experience:
  • High School Diploma or equivalent.
  • Previous experience, education and/or training preferred to demonstrate knowledge of office management, office equipment, phone systems, electronic health records and proficiency in typing.
  • Proficient in the use of Microsoft Office software (Word, Excel, PowerPoint).
  • Demonstrated ability to work independently and as a team.
  • Ability to comply with professional standards of conduct, including pleasant speaking voice and courteous manner as well as the ability to meet the demands of the position.

  • Maintains confidentiality of information relating to individuals and their families in accordance with agency policy.
  • Answers telephones, takes messages and refers calls to the appropriate person.
  • Communicates effectively with employees, service providers, individuals, caregivers, family members, and the community.
  • Completes assigned copying, scanning, mailings, and faxing within and outside of the Electronic Health Record System.
  • Maintains Clinic Charts for Individuals: Enters information into Electronic Health Record system efficiently and in a timely manner. Understands the system and ensures electronic filing to ensure proper organization of electronic records. Scans/Files all clinic documentation in a timely and efficient manner ensuring compliance with regulatory requirements, prepares new charts for individuals being admitted, routinely purges charts, and audits charts of individuals being discharged. Deactivates charts within Electronic Health Record System when discharged entirely and purges paper charts as needed.
  • Performs Insurance verifications for patients scheduled daily.
  • Maintains professional demeanor.
  • Assists with coverage at front desk in Winton Clinic office during vacations or the first week of the month to assist billing requirements.
  • Ensures timely scheduling of customer appointments, including patient check-in/check-out.
  • Reschedules clients to meet needs of clinic providers and clients.
  • Computes and collects correct co-pays from clients.
  • Performs assigned office duties (i.e. typing correspondence, filing, faxing/copying, mailings, calling for appointment reminders, sorting and distributing division mail).
  • Processes documentation for billing, charge entry and data entry and collects co-payments.
  • Monitors and solves problems related to client's insurance coverage for all carriers, and new client registration process and helps provide transportation support for clients.
  • Provides input on software inconsistencies to promote accuracy in billing and client services performed by clinicians. Runs reports that help monitor Agency productivity and accuracy
  • Communicates effectively with internal customers (co-workers and agency employees) to address customer needs and contribute to the execution of department goals and procedures.
  • Proactively attends to physical environment (i.e. maintains waiting room cleanliness and replenishes supplies and informational materials).
  • Maintains knowledge of other department functions (i.e. records clerk) and provides back up as needed.
  • Participates in agency committees as asked or as needed.
  • Participates in conferences, workshops and in-service training as needed or recommended to enhance job skills and personal growth and development.
