Under general direction, the Administrative Aide performs and coordinates highly specialized administrative and operational support and functions for the Office of Correctional Medicine in accordance with policies and standards of performance.
Examples of Duties25% 1.Provides executive and administrative support functions to OCM leadership and administrators on multiple administrative, operational and organizational matters. Maintains an overview of departmental and section responsibilities and deadlines and updates and evaluates as necessary. This includes, as appropriate or directed, providing information and/or explanations that require an understanding of the organization and related policies and procedures. 20% 2.Directs and manages the establishment, compilation and maintenance of procedure manuals, standard operating procedures, processes and information materials 10% 3.Conducts general business research when requested and prepares reports; gathers and maintains information for administrative and operations reports. 10% 4.Provides support to the Executive Program Director through the efficient coordination of activities, projects and meetings, including the maintenance of schedules, and the identification and preparation of necessary materials required for each meeting and/or project. Meetings often require the coordination of multiple executive and administrative staff, identifies and reserves appropriate meeting facility and equipment needs, catering, room and equipment set up, registration/notification for events, tracking registration, purchasing supplies, updating handouts, making copies, etc. 10% 5.Organizes medical charts and other information to be used in reviews such as mortality, adverse events, etc. 5% 6.Develops, prepares and distributes monthly health awareness material. 5% 7.Manages document retention and document storage policies and protocols, including chain of custody policy and process development for correctional partner documents. 5% 8.Maintains an overall awareness of organizational activities of import or impact to the designated member(s) of the unit staff and the unit; develops and trains OCM staff and partners on ethical, compassionate and none non-judgmental aspects and techniques needed in the performance of services. 5% 9.Develops, updates and inventories OCM marketing materials and identifying attire. 5% 10.Performs other related duties as assigned.
