Position Title: Accounts Payable Manager Position Location: Administration Building Bargaining Unit: WESPA Effective Date: July 7, 2025 Job description last updated: 2/29/2024 Position Summary: The ideal candidate will support the District's mission and vision and will have the primary responsibility of performing business office functions, under the supervision of the Assistant Business Administrator. District Summary: The William Penn School District is located in southeastern Delaware County and serves approximately 5,000 students who reside in Aldan, Colwyn, Darby, East Lansdowne, Lansdowne, and Yeadon Boroughs. We share a collective vision to educate, nurture and empower all students to become career and/or college ready. Key Responsibilities & Essential Duties:
  • Prepare and maintain bank deposit log and bank deposits for each school's Student Activity account
  • Process and issue payments for Student Activity Accounts on a weekly basis
  • Issue account balance reports to Buildings for Student Activities balances
  • Process monthly bank reconciliations for Student Activity Accounts using BlueBear software
  • Responsible for processing vendor invoices, general fund disbursements and manual checks
  • Responsible for generating regular, maintenance and utility check runs on a monthly basis
  • Responsible for generating Athletics check runs on a weekly basis
  • Maintains purchase orders and other accounting processes at the direction of the Assistant Business Administrator
  • Process and issue Employee Tuition, Medical and Mileage Reimbursements
  • Prepare Monthly Bill List (Budget and Finance Attachment 5) for the Board Business Meeting
  • Provide training to new employees on accessing Student Activity accounts and assist in problem solving related to Student Activities
  • Perform month end and year end accounts payable reconciliations
  • Perform month end and year end accounts payable rollover
  • Perform Bank Reconciliations for payroll and capital projects related bank accounts
  • Generate and send each Building/Department open purchase order reports on a monthly basis
  • Issue and mail 1099 Tax Forms on an annual basis
  • Provide state and independent auditors with invoices/payment information in a timely manner upon request
  • Track, verify and reissue vendor payments using Pinnacle online banking
  • Additional duties as assigned by the Assistant Business Administrator

Required Qualifications: Associate's degree in Business Administration OR Seven (7) years of increasing responsibility in Accounts Payable processing AND:
  • Demonstrated proficiency with Microsoft Office Suite, i.e. Microsoft Word and Microsoft Excel
  • Ability and knowledge of transferring and importing data
  • Strong written and oral communication skills
  • Effective interpersonal relationship skills
  • Strong organizational skills with demonstrated ability to effectively structure the work in a busy office environment
  • Access to reliable transportation
Pre-employment Paperwork Requirements:
  • Pennsylvania Criminal Background Check, FBI Fingerprinting Background Check, Pennsylvania Child Abuse Clearance
  • Sexual Misconduct/Abuse Disclosure Release (Act 168) forms
  • School Personnel Health Record and TB test
Working Conditions & Physical Requirements:
  • Work scheduled hours on a consistent basis
  • Work additional hours during heavy periods of the month
  • Indoor office environment is subject to frequent interruptions
  • Pushing, moving and lifting objects with a strength factor of light work
  • Dexterity of hands and fingers to operate a variety of standard office equipment
  • Clarity of vision at varying distances
  • Verbal, auditory and written capabilities to effectively communicate in an articulate manner
